In this tutorial, we'll learn how to use the internal messaging system for secure, direct, and private communication between teachers, parents, administrators, and staff.
The Messages module provides a secure, private messaging system within SSMS. Unlike public announcements, it enables direct one-on-one or group conversations, making it ideal for sensitive discussions, follow-ups, and day-to-day coordination among school community members.

Navigate to: Communication β Messages
This opens your primary Inbox.
π Inbox & Interface Overview
Your messaging hub is organized into key folders:

| Inbox | All messages received. |
| Sent | Copies of messages you've sent. |
| Drafts | Saved, unsent messages. |
| Trash | Deleted messages. |
Message List View Shows:
Sender/Recipient name
Subject line
Preview of content
Date & Time
Read/Unread status (β’ for unread)
π© Composing & Sending a Message
Click Compose or New Message.
Select Recipients:
Search by Name: Start typing a user's name.
Select by Role: Choose all "Teachers," "Parents of Grade 5," etc.
Select a Class: Message all parents/students in a specific class.
Multiple Recipients: Select several individuals for a group message.
Write Your Message:
Subject: A clear, concise topic.
Content: Use the text editor for clear communication.
Attachments: (Optional) Add documents, images, or files.
Click Send.


ποΈ Reading & Managing Messages
To Read: Click on any message in your Inbox. It opens in a conversation view showing the full thread.
To Reply: Open the message and use the Reply field. The original message is quoted for context.
To Delete: Select the message and move it to Trash or delete permanently.

π Notifications & Alerts
In-App Alert: A notification badge (e.g., red number) appears on the Messages icon in the sidebar when you have unread messages.
Dashboard Alert: Unread counts may also show on your main dashboard.
Email Notifications: (Optional) Users can be notified via email for new messages, depending on system settings.
π‘οΈ Privacy & Best Use Cases
Private: Messages are only visible to the sender and selected recipients.
Ideal For: Sensitive conversations, individual student progress updates, direct queries to staff, and coordinating with specific parent groups.
vs. Announcements: Use Messages for private dialogue. Use Announcements for public, one-way broadcasts to large groups.

Clear Subjects: Help recipients prioritize and organize their inbox.
Professional Tone: Maintain respectful and clear language.
Prompt Replies: Try to respond in a timely manner.
Respect Privacy: Only include necessary recipients; avoid "Reply All" unless needed.
Organize Regularly: Archive or delete old conversations to keep your inbox manageable.
Use Attachments Wisely: Attach relevant files (permission slips, graded work) directly to the related conversation.
